Office Cleaning Checklist: Daily, Weekly, Monthly & Quarterly Tasks

A good commercial cleaning service isn't just "mopping the floors." It's a structured rotation of tasks happening at different intervals — some every visit, some every few months. Here's what a professional cleaner actually does at each cadence, so you know what to ask for and what to expect.

Daily (every cleaning visit)

Reception & common areas

  • Empty trash and replace liners
  • Wipe down reception desks, countertops, tables
  • Vacuum carpets and entry mats; mop hard floors
  • Spot-clean glass doors and entryway windows
  • Disinfect high-touch surfaces (door handles, light switches, elevator buttons)
  • Tidy magazines, chairs, and waiting-area furniture

Workstations & offices

  • Empty desk-side trash bins
  • Dust visible surfaces (keyboards, monitors, desktops)
  • Vacuum or mop floors around workspaces

Restrooms

  • Clean and disinfect toilets, urinals, sinks, and countertops
  • Restock toilet paper, paper towels, soap
  • Sweep and mop floors with disinfectant
  • Wipe mirrors and polish fixtures
  • Empty sanitary bins

Kitchen / break room

  • Wipe countertops, tables, sinks, and appliance exteriors
  • Empty trash and recycling
  • Clean microwave interior (if used that day)
  • Sweep and mop floors

Weekly

  • Dust blinds and window sills
  • Wipe down baseboards in high-traffic areas
  • Detail-clean door frames and light switch plates
  • Polish stainless steel surfaces (kitchen, elevator panels)
  • Clean interior glass partitions
  • Wipe down trash bins themselves, not just the liners

Monthly

  • High-dust all surfaces — vents, ceiling corners, tops of bookshelves and cabinets
  • Detail vacuum upholstered furniture
  • Clean baseboards throughout the office
  • Wipe down all interior doors
  • Clean inside and outside of microwave and refrigerator (exterior, handles)
  • Dust artwork, frames, and wall decor

Quarterly (the "deep clean")

  • Carpet shampooing or hot-water extraction
  • Hard-floor deep scrub and (if applicable) wax or polish
  • Upholstery spot treatment or shampoo
  • Interior window cleaning, including frames and tracks
  • Clean HVAC vent covers and registers
  • Deep-clean kitchen appliances (inside refrigerator, oven, microwave)
  • Wash waste bins inside and out
  • Detail-clean light fixtures
  • Sanitize phones, keyboards, and shared electronics

Annually (or as needed)

  • Strip-and-wax hard floors
  • Exterior window cleaning
  • Full upholstery shampoo
  • Power-wash entryways and walkways (spring)
  • HVAC vent deep cleaning (coordinate with HVAC contractor)

How to use this checklist

When you're getting quotes, ask each cleaning service to spell out their scope against these categories. Watch for gaps — a quote that only covers daily tasks but never specifies monthly or quarterly work is how offices slowly decline without anyone noticing.

A professional quote should clearly state:

  • What's done every visit
  • What's on a weekly rotation
  • What's on a monthly rotation
  • What deep-cleaning tasks are included (and at what frequency)
  • What's billed separately if needed
Cleaning is a rotation, not a checklist you complete once.
